The Tupelo-Lee Humane Society is seeking a compassionate, organized, and dependable Placement Coordinator to help oversee our adoption, foster, and transport programs.
This position plays an important role in increasing lifesaving outcomes for animals in TLHS care. The Placement Coordinator works closely with adopters, foster caregivers, rescue partners, veterinary staff, volunteers, and other shelter employees to help animals successfully transition into adoptive homes, foster homes, and rescue placements.
The ideal candidate will have excellent communication and organizational skills, strong attention to detail, and the ability to manage multiple responsibilities in a busy shelter environment.
Job Purpose
The Placement Coordinator is responsible for overseeing the adoption, transport, and foster programs to increase lifesaving outcomes for animals in TLHS care.
This role ensures positive relationships with adopters, foster caregivers, and rescue partners while maintaining accurate documentation and providing support to caregivers and volunteers.
Key Duties and Responsibilities
Adoption Program
- Assist potential adopters throughout the adoption process, ensuring a smooth and positive experience.
- Manage adoption events, off-site adoption activities, and necessary follow-up communications.
- Maintain accurate adoption records.
- Provide discharge instructions or medications for surgical patients as needed.
Foster Program
- Recruit, train, and support foster caregivers, ensuring their foster needs are met.
- Address foster caregiver questions and concerns and coordinate with the appropriate shelter departments as needed.
- Maintain thorough records of foster caregiver communications, feedback, and animal progress.
- Schedule and monitor veterinary care and vaccinations for animals in foster homes.
Transport Program
- Build and maintain positive relationships with rescue organizations and shelters to develop transport opportunities.
- Coordinate transportation logistics and ensure animals meet applicable USDA transport guidelines.
- Work with veterinarians and support staff to prepare animals for transport.
- Coordinate required health certifications, medical documentation, and testing for transported animals.
- Promote the transport program and maintain detailed records of transported animals.
General Responsibilities
- Monitor emails, phone calls, social media, and other communication channels to assist members of the public.
- Maintain accurate digital and paper documentation.
- Prepare and issue reports as directed.
- Collaborate with TLHS leadership and veterinary staff to improve placement processes and increase positive outcomes.
- Assist with reception duties and general shelter operations as needed.
- Perform other duties as assigned.
Qualifications
- High school diploma or equivalent required.
- Clerical experience in an office setting is preferred.
- Proficiency with Microsoft Office and Google Workspace.
- Excellent interpersonal skills for communicating with adopters, foster caregivers, rescue partners, co-workers, and members of the public.
- Strong organizational skills and attention to detail.
- Ability to work in a fast-paced environment while managing multiple responsibilities and changing priorities.
- Experience handling animals and performing basic veterinary procedures is preferred.
- Must maintain a valid driver’s license and personal automobile insurance.
- Must be dependable and able to work both independently and as part of a team.
Working Conditions
- Primarily an office setting with frequent interaction with members of the public, shelter staff, volunteers, and animals.
- Regular exposure to animals that may be fearful, stressed, reactive, or fractious.
- May require work on weekends and holidays.
- Work takes place in a busy animal shelter environment where priorities may change quickly.
Physical Requirements
- Ability to move throughout the shelter facility.
- Ability to lift up to 50 pounds with assistance.
- Ability to remain on your feet for extended periods.
- Ability to bend, kneel, and safely handle animals in a variety of settings, including outdoor areas.
- Ability to tolerate exposure to cleaning chemicals, shelter noise, animal odors, and medical equipment, including needles and blades.
